I am delighted to be working with a highly sought-after Pharmaceutical industry leader on their unique requirement for a Grants Office Operations Manager in Cork.

This company provides grants and charitable contributions for healthcare professional education, patient advocacy and consumer education programs in a variety of therapeutic areas through the Grant Office. Their mission is to enable the improvement of patient care and healthcare delivery through the funding of unbiased and innovative educational initiatives allowing health care providers, patients and caregivers access to accurate information and relevant educational interventions.

The LGO Operations Support Team is responsible for all grant management operations. The Manager, LGO Support Team, is accountable for ensuring the team delivers on processing of all grants that are submitted through the Grant Office, from initial request; to communicating decisions; to reconciliation.

Core areas of focus include Business Office Support; Customer Service Support; Medical Education Grant Officer Support; and Personnel Management and Development


Business Office Support

  • Manage the Support Team and ensure the team is set up for success in supporting all grant applications that are submitted through the LGO, overseeing the day-to-day activities of the various facets involved
  • Oversight of grant payment and reporting
  • Point of contact for all LGO back-office operation audits
  • Collaborate closely with staff to ensure compliance to Lilly policies for LGO, which are unique because of the independence required in the grant space
  • Utilize all Lilly Grant Office systems and platforms and ensure compliance
  • Monthly reporting and quarterly business reviews with Leadership, including assessment of SLA and quality metrics
  • Accountable to ensure business processes reflect adherence to all applicable laws and regulations impacting the medical education environment, including ACCME and other industry regulations. Drive internal changes when appropriate.
  • Partner closely with the LGO Operations Consultants
  • Lead and/or participate in a variety of process improvement projects that will enhance business operations; achieve efficiency; and provide an optimal customer experience
  • Challenge long-held assumptions with a goal to discover new and unique ways of doing things

Customer Service Support

  • Ensure optimal customer support for grant requestors, demonstrating the Lilly Customer Experience Principles
  • Understand the guardrails regarding what can be communicated and what cannot to maintain independence; ensure the team is compliant at all times
  • Ensure the team understands the external regulations in this space, particularly ACCME and how that relates to interactions with external and internal inquires
  • Collect and report metrics on response times and customer interactions
  • Medical Education Grant Officer (MEGO) Support
  • Partner with internal LGO front office team to identify administrative tasks that can support them in their roles
  • Provide reports from the Grant Management System, and help to create storyboards, that enables the MEGOs to tell the story of impact/value and Return on Educational Investments
  • Help to aggregate data when requested

Basic Qualifications

  • Bachelor's degree
  • Business Process development / Project Management skills

  • Appreciation of / experience in compliance-driven environment
  • Exceptional communication skills; experience following the Lilly Customer Experience Principles when working with external parties
  • Ability to influence business decisions (upward and cross-functionally)
  • Demonstrated leadership and self-management
  • Strong understanding of risk assessment and risk management fundamentals/tools
  • Demonstrated strategic thinking, problem solving and decision-making skills
  • Strong computer skills (i.e. SAP, Excel, PowerPoint, Word)
